Over half (55 %) of the travel directors polled said they are responsible for developing strategic meetings management programs at their companies in the 2012 GBTA Travel Management Compensation and Benefits Survey. The survey reported a 9 percent rise in such tasks compared to the same time in 2011.

Diversified Tasks

An increasing number of travel department heads have also taken on meeting planning, the report suggests – 43 percent in 2012, up 4 points from 2010.

Angie Henderson, the Apple Inc. Global Strategic Meetings Manager, says that [SMMP, or strategic meetings management programs] “has always been rolled up in to travel”, further she stated: “I feel we were one of the first large corporations that designed our meeting program in that fashion a long time ago. My boss, who is the global travel manager, has accountability for me and my team, who oversee all meetings.”

This view was reflected by Judy Bauer, global leader, corporate travel, at Marsh & McLennan Companies: she was charged with the creation of her company’s SMMP two years ago. The company has no centralized meeting management department; instead, alongside corporate travel-meeting responsibilities, each of its four operating companies’ marketing departments contains meeting planners. She was forced to hire consultants to help her accomplish the task and will hire a manager to oversee SMMP. She estimates that even after the manager is in place, SMM responsibilities will still be 25 percent of her role.

Sustainability and Risk

Responsibilities don’t end with meetings; the survey also revealed that more travel directors are being asked to create green travel policies (a role that saw an increase of 4 points to 36% in 2012) and nearly a quarter (26%) is in charge of overall corporate social responsibility programs.

Risk management is an additional task that has come the way of travel directors: 68 percent of respondents now claim to be responsible for the company’s overall program of risk management – an increase of 12 percentage points in just one year.

The key indicator of revenue per available room should increase by nearly 6% this year and over 6% in 2014. There are a few reasons for this: first, there are hardly any new hotels rooms on the supply side and second, both leisure and business travel is increasing. While this is good news for the hotel industry, it does not automatically mean price increases for business travelers as this increased profit is a result of increased occupancy.

The PwC report stated that despite forecasted economic growth, there are macroeconomic challenges ahead. It highlighted the effect of Federal government cuts and a tightening of the money supply as possible threats at this level.

From the perspective of the hotel industry, there are a number of positive factors: household wealth is on average increasing, at the same time as the corresponding household debt is decreasing – resulting in more cash for leisure spending. There is also a palpable increase in consumer confidence at the same time as overall employment is gradually improving.

High-end Gains

The leader of hospitality and leisure at PwC, Scott Berman, has highlighted that the top end of the market has seen improvement. He said: “Hotels in higher-priced segments are achieving occupancy levels above the prior peak, and looking ahead, the foundation is in place for solid rate gains as travel demand grows and hotel operators adjust strategies accordingly.”

Looking at his words carefully, we could be in for some rises for business travelers at this end of the market. The PwC report quantified the increase in demand for hotel rooms at around 2.2 percent, while suggesting supply will increase at around just 0.8 percent. This should raise occupancy rates to 62.2 percent, the highest level since the financial crisis began.

The raw statistics are a bit too general, the report points out. Hotels in urban areas, for example – most frequented by business travelers – will be in most demand and have limited scope to increase supply. They may see their revenue per available room jump more than the predicted 5.9 % and consequently rate rises may hit business travelers disproportionately.

Events on the rise

PwC also expects to see an increase in the number of business related events and conferences over the next year. This is also not a universal trend, with smaller and medium sized companies expanding their event bookings more quickly than larger organizations.

All this means for business travelers and travel departments that they may find it slightly harder to get the best room and rates will be, most likely, a little higher. This should really come as no surprise in a period such as that forecast but will make the task of corporate travel departments even more challenging.

1.  Set the Tone By Selecting the Best Venue

Make a list of the people to invite and decide where to hold the meeting or event. Think about the tone of the event or meeting before you decide on the venue.  Some possibilities include conference rooms (at your company, hotels or event centers) or a restaurant.  Thinking outside the box is a great stimulant for great collaboration–untraditional meeting spaces and social function sites will be talked about for years to come.  Meeting planners seeking a departure from traditional meeting facilities have a wide variety of creative venues to choose from depending on your region.  For example, in New Jersey, there are many unique venues, from the Atlantic City glitz to the more relaxed golf courses (depending on how good you are at golf, naturally)  Do you want to have a reserved or laid back meeting?  Your venue can dictate that tone very easily.

2. Use the latest technology to send invites and keep track of the RSVPs.

3.  Rehearse the Flow of the Agenda.

It’s vital that you have a good flow from agenda items  in order to have a successful and effective meeting.  Rehearsing it several times prior to the meeting or event start is a great way to not only make sure that everything flows well, but to acclimate any of the agenda participants to their roles. It also is helpful to anticipate any timing issues that may come up.

4.  Prep the Equipment.

After rehearsing your agenda a few times, it’s always good to have a “dress rehearsal” at the actual venue, which should include any and all the technology you will be depending on during your meeting or event.

On the day of the meeting or event, arrive early and have everything set up.  If it’s a large room, consider the arrangement of chairs and/or tables.  If your event or meeting is a relatively small one, with breakout group, you should consider clusters of small groups around tables.  If it’s more concert-venue focused, you will want all eyes up front.  Make sure your laptop or projector is properly positioned and synched with the overhead screen.  Check the lighting to make sure they are focused properly, and that the microphones all have full powered batteries and/or all connecting cords are in place.

5. Assign Clear Roles and Responsibilities

Even the best venue and technology won’t save a meeting that lacks direction. Assign clear responsibilities to speakers, moderators, and support staff. Make sure everyone knows who introduces topics, who keeps time, and who answers questions. When each person understands their role, the event moves with purpose instead of hesitation.

Strong preparation separates a forgettable meeting from one that drives results. When you choose the right setting, use smart tools, rehearse your agenda, and test every piece of equipment, you remove uncertainty from the equation.
